Terms and Conditions

This Catering Agreement is entered into between Fortun8te Coffee Co. (“Caterer”) and the individual or entity booking coffee catering services (“Client”) (collectively, “Parties”). This document outlines the agreement for the services Caterer will provide for the event specified in the quote or booking confirmation email.

  1. Event Details

    Client is hiring Fortun8te Coffee Co. to provide coffee beverages and related services for the event as identified in the booking confirmation email. Any changes to these details must be communicated in writing to Caterer at least 14 days before the event and may incur additional charges.

  2. Media Terms and Conditions

    By booking our catering services, you acknowledge and agree that we may take photos and videos during the event to showcase our work. These images and videos may be used on our social media platforms, website, and other advertising materials to promote our business. If you prefer your event to remain completely private, please inform us in writing at the time of booking. We respect our clients’ privacy and will honor such requests when communicated in advance.

  3. Menu

    Caterer will provide the agreed menu but reserves the right to make minor adjustments if key ingredients are unavailable due to circumstances beyond Caterer’s control.

  4. Sample Menu:

    Beverages: Latte, Mocha, Cappuccino, Americano, Matcha Latte, Black Sesame Latte, Pandan Latte, Hot Chocolate

    Syrups: Vanilla, Hazelnut, Chocolate, Pandan, Matcha, Mugwort, Black Sesame, and seasonal flavors.

    Milk Options: Whole milk and up to two non-dairy alternatives.

  5. Venue Coordination

    Client must ensure venue access at least 1.5 hours before the event start time and 1 hour after for cleanup.

    Outdoor setups are permitted if temperatures are between 40°F and 90°F and rain is not forecasted. Espresso machines may not function properly in extreme weather conditions.

  6. Payment Terms

    To secure your event date, a 50% deposit is required at the time of booking. The remaining balance must be paid in full at least 7 days before the event date. Payment options include credit card or check payable to Fortun8te Coffee Co.

    If guest counts increase, additional costs may apply, and the Client must provide a final guest count no later than 7 days prior to the event. Refunds or credits, if applicable, are outlined under the cancellation terms below.

  7. Responsibilities for Related Costs

    Client is responsible for:

    Venue fees, permits, or approvals required for Caterer’s services.

    Providing one dedicated 120V circuit/15 amp per espresso machine. Espresso-based drinks cannot be made without adequate power, and no refunds will be issued for power-related issues.

  8. Insurance

    Caterer maintains general liability insurance for its operations. Caterer is not liable for any damages or injuries caused by circumstances outside its direct control.

  9. Indemnification

    Client agrees to indemnify Caterer for any damage, theft, or loss of Caterer’s equipment caused by Client’s guests or staff during the event.

  10. Cancellation & Rescheduling

    If the Client needs to cancel the event, Client must provide written notice to Caterer to effect cancellation.
    Client understands that upon entering into this Contract, Caterer is committing time and perishable resources to this event and thus cancellation would result in lost income and lost business opportunities in an amount hard to precisely calculate. Therefore, the following cancellation limitations will apply.

    30+ days notice: Full refund.

    15 days notice: 50% refund.

    14 days or less: No refund; deposit can be credited toward a future event.

    *Please note, if we’ve already ordered items like custom branding that is non-returnable and non-refundable for us, you will still be charged for those items.

  11. Rescheduling Policy:

    Single-day events: Rescheduling is allowed with 30 day notice, subject to availability.

    Multi-day events: Rescheduling is allowed with 30 day notice, subject to availability.

    Rescheduling less than the specified time frame will result in charges for the full event service.

  12. Limitation of Liability

    If Caterer is unable to fulfill its obligations due to uncontrollable circumstances (e.g., natural disasters, vendor issues), Caterer may, with Client's approval, provide a substitute service provider or issue a full refund. No further liability will be assumed.

  13. Dispute Resolution

    Client agrees to notify Caterer in writing of any issues before posting public reviews. Parties will work to resolve disputes amicably.

  14. Jurisdiction

    These terms and conditions will be interpreted according to the laws of the state and county in which the catering service is taking place.

  15. Entire Agreement

    This document constitutes the full agreement between the Parties. Any amendments must be in writing and acknowledged by both Parties.
